How tracking works, passwords, WhatsApp and email, certificates and bulk sends. If your question is not here, ask us.
Everything people ask us.
How does DocuTrack know a document was opened?
Every recipient gets their own link. When they open it, DocuTrack serves the PDF and records the open against that person — the time, their device and browser, and an approximate location from their internet address. It works in every browser and on every phone.
Does it track the PDF after it is downloaded?
Partly. Each copy carries an open action that reports back when it is opened in Adobe Acrobat or Reader on a computer — Adobe first asks the reader to allow it. Browser viewers, macOS Preview and phone viewers do not run it, which is why the tracked link is the main record and the in-PDF signal is a bonus.
How does password protection work?
The PDF is encrypted with AES-256. When a recipient opens their link, DocuTrack sends them the password on a separate channel — WhatsApp, email or both — so the file and its key never travel together. You can resend the password at any time.
Which WhatsApp number do the messages come from?
Your own. WhatsApp delivery uses TextBot, which puts your own WhatsApp number on an API: add your TextBot API key under Settings and links and passwords go out from that number.
Can I send by email instead?
Yes. Add your mailbox’s SMTP details and links and passwords go out from your own address. When a recipient has both, WhatsApp is tried first and email second.
What is the certificate of delivery?
A PDF report of a document’s delivery and opens, issued at the moment you ask for it. It carries SHA-256 fingerprints of the document and of the tracking record, a trusted timestamp from an RFC 3161 timestamp authority, and a QR code to a public page where anyone can check that it has not been altered.
What happens if someone never opens it?
Switch on reminders and the link is resent every few hours or days until they open it, up to a limit you choose. Reminders stop by themselves the moment it is opened. The overview lists everyone still waiting.
Can I see where a recipient was when they opened it?
An approximate location — city and internet provider — comes from their internet address. If you ask for it, their browser also asks them to share their precise location when they open the link; they can say no, and DocuTrack records that they declined.
Can I send one document to many people?
Yes. Bulk send takes a PDF and a spreadsheet of names, numbers, emails and references — up to 5,000 rows a time — and gives every row its own tracked link, delivered in paced batches.
Who in my company can use it?
As many people as you add. Owners and admins manage users, channels and settings; senders send and track documents; viewers see documents and their activity. Every change is in the audit log.
Can I stop a link from working?
Yes. Revoke any recipient’s link and it stops opening the document straight away, while the record of what happened stays.
How large can a document be?
PDFs of up to 25 MB.
How do we get started?
Tell us about your company through the contact page. We set up your account and your first owner, who then adds your team and your WhatsApp and email channels.
